Medical and Clinical Affairs Operations Assistant

The Medical and Clinical Affairs Operations Assistant will provide operational support to our cross-functional medical and clinical affairs team, assisting with the planning and tactical execution of plans within the Global Medical and Clinical Affairs department. The Medical and Clinical Affairs Operations Assistant will interact with multiple functions within Sirtex including: medical affairs, clinical affairs, medical information, scientific communications, health economics, training, marketing sales, finance, legal and regulatory departments.  The individual is expected to apply process- management best practices in the development, initiation, planning, execution, maintenance of assigned processes.

RESPONSIBILITIES / AUTHORITIES:

  • Administrative lead for medical governance activities including: unrestricted educational grants, Company-sponsored trials, Investigator-initiated trials, Regional Grants Committees Co
  • Monitors and provides monthly reports on departmental budget/spending and reconciling with Finance
  • Clinical Study Administrative processes
    • Support for contracts
    • Tracking of invoices
    • Registry logistical management
  • Management and update of the Medical Affairs page on the Sirtex website
  • Medical Congress logistics (in coordination with the Medical Affairs congress team lead and Marketing)
    • Support dissemination of educational updates from meetings
    • Ensure adequate coverage of external meetings
  • MACA Vendor management (to include contracts and invoicing)
  • Project management
    • Provide internal and external meeting management and facilitation support to ensure projects and plans move forward.
    • Update appropriate trackers on MACA initiatives
    • Coordinate CMC outputs and logistics
  • Providing clerical support functions for the Medical and Clinical Affairs department

 General:

  • Observe and comply with all Sirtex corporate policies
    • Work within, and ensure adherence to Quality System procedures, work instructions and other Quality System requirements
    • Work within, and ensure adherence to Health, Safety and Environment Management System procedures, instructions and other requirements.
    • Employee will provide support in other areas as assigned by his/her supervisor

EDUCATIONAL PREREQUISITES AND SKILL REQUIREMENTS:

  • Bachelor’s degree preferred but not required
  • One to three years of experience in a pharmaceutical/ medical device Project Management/operations role
  • Thrive working in a fast-paced, innovative environment while remaining flexible, proactive, resourceful and efficient.
  • Quick learner, goal oriented and results driven with excellent problem-solving skills and ability to escalate issues appropriately
  • Knowledge of pharmaceutical industry regulations, guidelines, standards and practices
  • Strong computer skills in applications used in general office settings including Microsoft Office Suite, MS Project (or similar project management software) and Internet search engines
  • Excellent grammatical and proofreading skills
  • Strong verbal and written communication skills including the ability to write routine reports and correspondence
  • Attention to detail and strong organizational skills
  • Display strong analytical and problem-solving skills
  • Proactive, ability to take the initiative and work independently
  • Strong interpersonal skills
  • The ability to maintain positive relationships both internally and externally
  • The ability to successfully work in a team environment
  • The ability to represent Sirtex in a professional manner

TRAINING REQUIREMENTS:

  • Undergo all formal training, as may be directed from time-to-time
